CANCELLATION POLICY

Boston Apostille & Notary Concierge provides appointment-based and coordination-based services that require scheduling, document review, communication, travel planning, and in some cases time-sensitive handling. This Cancellation Policy explains how cancellations, readiness issues, trip fees, document handling, and deposits are addressed.

Appointment and Service Confirmation

Appointments and service requests are confirmed only after readiness, availability, payment requirements, and service requirements are reviewed. For mobile notary appointments, dispatch will not occur until the client or responsible contact confirms readiness. Before dispatch, the client may be required to text or otherwise confirm that the signer is physically present, awake, aware, willing, and able to present valid unexpired government-issued photo identification; that documents are present and ready; that required witnesses are present if applicable; and that location access is available.


If readiness is not confirmed, the appointment may be delayed, declined, rescheduled, or canceled. If readiness is confirmed but the required conditions are not met on arrival, the trip fee, deposit, or other disclosed nonrefundable fees may still apply.

Payment Before Travel

For mobile notary appointments, payment is required before travel begins unless otherwise expressly agreed in writing. Dispatch means time, scheduling, and travel capacity have been committed specifically to that appointment.

Trip Fee Policy

A travel fee is not refundable once travel begins or dispatch occurs.
A trip fee may apply, or remain nonrefundable, if:


•    the signer is not ready at the time of appointment 
•    valid ID is not available 
•    required witnesses are missing 
•    documents are incomplete in a way that prevents service 
•    access is denied or significantly delayed at the location 
•    the appointment is canceled after dispatch 
•    the situation on arrival prevents lawful or practical completion of service 

Apostille Service Policy

For apostille concierge requests, once service has started, fees paid are nonrefundable. This includes work involving document review, handling, coordination, courier activity, submission preparation, processing steps, or related service activity already begun.

Translation Service Policy

For certified translation requests, once translation work, review, formatting, certification, coordination, or active processing has started, fees paid are nonrefundable unless otherwise stated in writing.

Deposits

Deposits may be required for higher-risk, higher-coordination, or time-sensitive requests, including:
•    hospital and bedside appointments 
•    urgent or same-day appointments 
•    late-night appointments 
•    Sunday or holiday emergencies 
•    extended-distance travel 
•    apostille concierge requests requiring active coordination 
•    translation requests with rush deadlines or active processing 


Unless otherwise stated at the time of booking, required deposits are nonrefundable once scheduling, travel preparation, dispatch, document review, service coordination, or active processing has begun.

Rescheduling

Rescheduling requests may be accommodated based on availability. However, repeated rescheduling, last-minute changes, readiness failures, document changes, deadline changes, or service-scope changes may result in updated pricing, a new deposit requirement, or cancellation of the request.

Refusal of Service

We reserve the right to refuse or discontinue service if legal, operational, timing, or document requirements are not met, if the signer cannot be properly identified, if the signer does not appear aware or willing, if the requested service cannot be completed appropriately, or if the appointment or request conditions are unsafe, misleading, or noncompliant.

Payment Responsibility

Clients remain responsible for all approved and applicable fees once scheduling, dispatch, travel, document review, coordination, handling, or active processing has begun.
For mobile notary appointments, if the requested service cannot be completed because required conditions were not met, the travel fee is not refundable.


For apostille concierge services, once service has started, fees paid are nonrefundable.


For certified translation services, once work has started, fees paid are nonrefundable unless otherwise stated in writing.

Any approved refund will be issued to the original payment method when practical. Refund timing may depend on the payment processor, card issuer, bank, or payment platform. Processing fees, third-party fees, courier fees, filing fees, government fees, completed work, started work, document handling, dispatch, travel, and coordination already performed may be nonrefundable unless otherwise stated in writing.
